For many years, DIHK-Bildungs-gGmbH organized its seminars and live online training programs primarily using a large Excel file that had become known internally as the \u201cgiant spreadsheet.\u201d It contained every organizational step involved in delivering an event, from invitations and participant lists to room planning, catering, and numerous other to-do entries.<\/span><\/p>\n

This way of working required a considerable amount of manual coordination. Every individual step had to be entered and maintained separately. If an entry was overlooked, there was a risk that an important part of the event process would not be completed on time. For DIHK-Bildungs-gGmbH, this approach was therefore not only lacking in transparency, but also insufficiently reliable for day-to-day operations.<\/span><\/p>\n

DIHK-Bildungs-gGmbH therefore looked for a digital solution that would enable it to map its existing workflows reliably and develop them further step by step. The initial priority was deliberately not to automate individual processes, but to digitize the existing way of working in a structured manner. This structured approach continues to provide the foundation for improving processes and automating selected steps where it adds genuine value. Throughout this development, people remain at the heart of the organization\u2019s approach.<\/span><\/p>\n

It was equally important that the system could be adapted to the different requirements of the individual departments. DIHK-Bildungs-gGmbH was not looking for a rigid, off-the-shelf system, but for a flexible solution that could be tailored to its own processes.<\/span><\/p>\n

With cimoio, DIHK-Bildungs-gGmbH gradually digitized its event management processes. The system initially went live in the seminar division in 2018, followed by a rollout to additional areas in 2019 and 2020.<\/span><\/p>\n

The implementation was supported by cross-departmental coordination and workshops in which shared processes were developed and different requirements brought together. This created a consistent foundation for collaboration while still taking the individual needs of each department into account.<\/span><\/p>\n

The existing Excel-based workflows were digitized first. Participant portals<\/a> were introduced in the next step, giving customers access to the training offering. The portals make it possible to publish events and update information much more quickly.<\/p>\n

Examples of how cimoio supports the work of DIHK-Bildungs-gGmbH include the structured use of to-do entries and product templates, the assignment of to-dos within the team, and the digital mapping of key event workflows. This helps the organization establish more consistent processes and apply common standards across departments.<\/span><\/p>\n

Over the course of the collaboration, further organizational and financial workflows were integrated. These include certificates of attendance, invoice dispatch, and approval workflows for pre- and post-event calculations. For DIHK-Bildungs-gGmbH, these calculations are a central element of event management. As a non-profit organization, its objective is not to maximize profit, but to ensure that events are planned on a sound and financially sustainable basis. Approval workflows and calculations are therefore closely linked and provide a reliable foundation for planning and delivering events.<\/span><\/p>\n

To-dos can be managed more clearly, workflows can be standardized, and collaboration within the team has become noticeably easier. This has reduced the amount of coordination required in day-to-day operations.<\/span><\/p>\n

Financial workflows are now also more closely integrated into event management. Approval processes and pre- and post-event calculations work together to provide a reliable basis for financial decisions. As a non-profit organization, DIHK-Bildungs-gGmbH uses cimoio to plan events in a financially sustainable manner.<\/span><\/p>\n

cimoio proved particularly valuable during the COVID-19 pandemic. Within a short period of time, DIHK-Bildungs-gGmbH was able to organize significantly more digital training programs and deliver them on a scale that would have been difficult to manage with the previous, largely manual workflows.<\/span><\/p>\n
