Challenge
The organization of the WOLF Campus is characterized by a high level of operational complexity. Seminars must be planned across multiple locations. In addition, resources such as rooms, schedules, technical equipment, and responsibilities must be coordinated carefully.
In resource management, both internal and external trainers must be scheduled efficiently.
Training and event rooms with varying equipment at different locations add to the requirements. Suitable reporting is also needed to manage operations.
For this reason, a new solution was sought. It had to map the existing requirements clearly, create transparency, and remain intuitive to use.
Solution
With cimoio, a solution was introduced that has efficiently and transparently managed central processes relating to training, resources, and bookings since the go-live in October 2024.
A key success factor is the clear mapping of roles, rights, and organizational units. Different responsibilities and work areas can be structured clearly, creating a system landscape that reflects the company’s actual processes and can grow flexibly with them.
cimoio also brings significant improvements in resource planning: rooms, technical equipment, and trainers can be planned centrally and integrated directly into seminar organization. Different planning horizons can also be mapped — for example, long-term annual planning for internal training as well as rolling quarterly planning for in-house formats. This facilitates both day-to-day coordination and forward-looking planning.
cimoio was quickly made ready for use and supplied with data from existing systems at an early stage. The system operates independently and reliably. At the same time, it is seamlessly integrated into the existing IT landscape through its connection to myWOLF and other systems.
An important part of the project was the “help for self-help” approach, through which the system can be used and further developed independently. Since the beginning of 2026, online booking via myWOLF has also been in use, providing an additional access point to the training offering.
Result and added value
With cimoio, the training organization has become significantly more structured and transparent. Planning processes are clearly defined, resources can be managed in a targeted way, and workflows are systematically traceable.
The introduction of cimoio also provides momentum for improving data quality.
Greater transparency and clear structures noticeably ease day-to-day operations. Coordination becomes simpler, planning more reliable, and the organization more efficient overall.
At the same time, the user experience for participants improves, for example through easier access to training offerings.
